You can access your Outlook Online Archive from a University desktop, University staff laptop or other device. The features available will depend upon whether you are using Outlook 2013 or Outlook on the Web.
The archived messages reside in the cloud, and users can access the messages by using Outlook 2016 for Mac, Outlook 2013, Outlook 2010 or Outlook Web App. For more information about the archive mailbox feature in Exchange Online, see Enable or disable an archive mailbox in Exchange Online.

An Outlook Online Archive will show in the bottom of your folder list. Within Outlook 2013 this will appear as Archive - [email protected]. Within Outlook Web App this will appear as Personal Archive - username

Microsoft Outlook 2016 provides the ability to set the online archive policy for each folder in your account. Setting an online archive policy for each of your mailbox account folders allows emails to be automatically archived after a certain time period. Complete the following steps to set the online archive policy for each individual folder.
Note: | Using the online archive option will not retain emails that are subject to a corporate or organizational retention policy. |
- Right-click on the name of the folder you have created. A pop-up menu appears.
- Select Properties… from the pop-up menu. The folder properties screen displays.
- Select the Policy tab.
- Locate the Online Archive section of the Policy tab.
- Select the time period you want to use, from the drop-down menu.
- Select the Apply button to apply the online archive policy to the folder.
- Next, select the OK button to close the folder policies screen.
The online archive policy for this folder is now set. Repeat these steps to set an online archive policy for each additional mailbox folder you create/have created.
